Filtering
Filtering helps you find exactly the contacts you need — fast.
Inside the Contacts section, you can apply filters to sort, segment, and analyze captured contacts by criteria such as Agent, Goal, Date, Status, or Tags.
Whether you’re reviewing a campaign’s performance or prepping follow-ups, filters make it easy to isolate the most relevant contacts in seconds.
Why It Matters
As your Agents capture more conversations, your contact database grows quickly.
Filtering keeps everything manageable by letting you:
- Focus on the most qualified or recent contact
- Segment contacts by source or campaign
- Identify drop-off points or high-converting flows
- Export targeted lists for follow-up or CRM sync
No more scrolling endlessly — just search, filter, and act.
When to Use
Use filters whenever you need to:
- Review contacts generated by a specific Agent
- See only those who completed a certain Goal (e.g., “Book a Demo”)
- Find new or uncontacted contacts
- Segment by campaign tag or keyword
- Track results for a specific time period
Filter Options
Filter Type | Description | Example |
|---|---|---|
Agent | View contacts from a specific AI Agent. | Contacts from “Website Sales Agent.” |
Goal | Filter by what the user achieved (form submitted, booked call, etc.). | Contacts with Goal = “Action Pitched.” |
Tags | Search by assigned tags (manual or automated). | Tag = “High Intent” or “Returning User.” |
Status | Sort by contacted, converted, or pending contacts. | Status = “Follow-up Sent.” |
Date Range | Limit results by date captured. | Contacts created in the last 7 days. |
Source Channel | Identify the channel where the contact originated. | Source = “Website Widget.” |
You can combine multiple filters to get even more granular results.
How It Works
Go to Contacts in the left sidebar.
- Click the Filter button at the top of the contact list.
- Choose one or more filters (e.g. Agent, Goal, or Tag).
- Your list updates instantly based on your selections.
- (Optional) Export or message the filtered contacts directly.
💡 Pro tip: Filters persist across sessions, so you can revisit your previous search view.
Example Scenarios
Scenario | Filter Setup | Outcome |
|---|---|---|
Review contacts captured this week | Date: “Last 7 Days” | See all new conversations from the week. |
See all demo requests | Goal: “Book Demo” | Focus on prospects ready for sales. |
Track a campaign | Tag: “Summer Promo” | Analyze performance for one campaign. |
Re-engage inactive users | Status: “Uncontacted” + Date: “30+ Days” | Build a reactivation list. |
Combining Filters
Filters can be stacked together to narrow your results even further.
Example:
Agent = Website Sales
Goal = Book Demo
Tag = High Intent
✅ Returns only qualified demo contacts captured by the website Agent.
Exporting Filtered Contacts
After applying filters, click Export to download just the visible results.
This ensures your exported list includes only the segment you need — perfect for CRM uploads or marketing follow-ups.
Best Practices
- Use clear and consistent tagging (e.g. “High Intent,” “Returning Visitor”).
- Filter by Goal to measure how each campaign performs.
- Use Date filters to track growth trends weekly or monthly.
- Combine Status + Goal filters for quick follow-up lists.
- Save filters as reports (if supported) to track recurring performance.
Troubleshooting
Issue | Cause | Fix |
|---|---|---|
Filters not showing results | Too many filters combined | Try removing one filter or resetting. |
Wrong contacts appearing | Similar tags or names | Use specific keywords or tag IDs. |
Export includes all contacts | Filters not applied before export | Re-apply filters, then export again. |
Why It’s Powerful
Filtering helps you focus on what matters — quality contacts and measurable outcomes.
It’s how sales and marketing teams stay organized, prioritize high-value prospects, and turn conversation data into actionable insights.
